Beschreibung: • Serve as point of contact for all client requests with internal events. • Meet and greet all clients; to escort all clients to the relevant meeting areas. • Be the first point of contact and the face of the Company to all clients and internal customers who enter the office, be welcoming and attentive, address all customers in a bright and friendly manner • Schedule and manage all meeting movements in accordance to client needs and requests. • Co-ordinate and provide assistance with allocation of meeting rooms and requirements for all clients upon request, ensuring room capacity will suit function. • Ensure all details as to nature of room usage and requirements are recorded, including equipment needs and ensure rooms are set up prior to functions. Prompt; efficient and regular follow up on all rooms to ensure correct standard of cleanliness. • Liaise with event organizers to ensure that all requirements are met; according to all booking details. • Work within established standards to ensure appropriate and consistent room presentation at all times. • Communicate with all members of Office Operations team so as to ensure high level of service delivery. Ensure that good communication is maintained at time of shift changeover so as to make incoming staff aware of status of events. • Use internal event/reservation (EMS) system to monitor and allocate booking requests for client/function meeting rooms • Process all local office space reservation requests on EMS (assign space and/or confirm online requests) and help ensure optimal workspace occupancy • Enter all local office regular/long-term space bookings into EMS • Constantly monitor web requests and waitlists for space and action accordingly • Confirm local office bookings for following day; update status in EMS • Main contact for video conference enquiries and bookings at a local level • Review space utilization data and generate reports as required at a country level • Forward planning of all events, including food and beverage selection, room layouts, additional requirements

Kenntnisse: Minimum of 2 years customer service experience; Strong customer service skills with proven organizational & administrative ability; • Strong interpersonal and communication skills; multi-tasking skills; ability to manage own workload and adjust priorities to work efficiently and meet deadlines. Ability to be detail oriented, accurate and logical. • Positive attitude; team player; • Basic computer skills in Microsoft Office Language Abilities: German, English
